Vacant Position: Program Administrator

Reports To: Executive Director

FLSA Status: Grant-Funded

Location: Hybrid (remote with occasional in-state travel within Washington State)

Position Summary

The Hawk Foundation for Research and Education in African Culture seeks a highly organized, mission-aligned Program Administrator to support the implementation of a federally funded cultural education initiative. This position coordinates day-to-day operations, maintains compliance with federal grant requirements, and serves as a central liaison among facilitators, school partners, evaluation partners, and community stakeholders. The Program Administrator plays a key role in ensuring the successful delivery of a middle school seminar series focused on African American and Freedmen cultural traditions and civic identity. Key Responsibilities

  • Manage calendars, logistics, and scheduling for all project-related events, meetings, and seminars

  • Track grant deliverables, timelines, and performance measures required by federal guidelines

  • Prepare and organize reports, invoices, documentation, and communications for the funder

  • Coordinate with facilitators, schools, evaluators, and community venues to ensure smooth program operations

  • Maintain accurate records of participation, materials distribution, and partner communications

  • Support curriculum distribution, workshop material preparation, and data collection activities

  • Attend staff meetings, advisory board meetings, and required trainings

  • Provide administrative and coordination support to the Executive Director and evaluation partner, as needed

Qualifications

  • Strong organizational skills with attention to detail and the ability to manage multiple timelines and priorities

  • Experience working in nonprofit, educational, or community-based settings

  • Familiarity with federally funded programs and grant compliance requirements preferred

  • Excellent written and verbal communication skills

  • Culturally responsive, community-oriented, and aligned with the mission and values of the organization

  • Proficiency with Google Workspace, Zoom, and basic project tracking tools

  • Lived experience or demonstrated understanding of African American, Freedmen, or Indigenous histories is highly valued

Compensation and Hours

This is a grant-funded position tied to a three-year project timeline. The position is contracted at approximately $65,000 annual salary plus fringe benefits. Flexible scheduling is available, though some evening or weekend availability may be required to support program activities.
